How to Setup a Food Vendor

Overview

This guide provides a step-by-step process for setting up a food vendor in Organization settings which then allows selection and local setup of that vendor at the Organization’s facilities.

Food Vendor Setup at the Organization Level

Step 1: Starting in your Organization, Navigate to your Facilities page

Select Facilities, then select the facility for which you want to set up a vendor.

Step 2: On the Facility detail page, select the Vendor Management tab


Select the vendor management tab on the facility details page.

Step 3: Select "Add a Vendor" button

Upon selection, an "Add New Vendor" modal will open.

Step 4: Enter the vendor’s details in the “Add New Vendor” modal

Add the vendor’s name, the facility’s Account Number, the vendor’s phone number, your Primary Contact at the vendor along with their direct phone number.

Step 5: Enter the facility’s food delivery and ordering details


If the facility receives food deliveries from this vendor on a standard schedule, select the “Repeat every” button. Use the dropdown menu to select how often your delivery schedule repeats, such as weekly (for this enter a “1”). 

If the facility is not on a standard delivery schedule for this vendor, select the “As needed” button instead (there is no need to enter a weekly schedule in this case).

Step 5: Enter Order Cutoff Days & Times


After selecting your delivery schedule, proceed to the “Order Cutoff Times” section. Starting with Sunday and working your way down the list, select the day you would need to submit a food order for delivery on each day. For instance, if you must place orders at least two days in advance, then to receive a delivery on Friday, you need to place the order on Wednesday.

After selecting your ordering days, complete the next column where you can enter the order cutoff time for each day. For example, if you must place orders by 1 pm at least 2 days in advance and you want to receive a delivery on Friday, then the Friday line would show Wednesday as the day to place the order and it must be placed by 1 pm.


Food Vendor Setup at a Facility

Step 1: Navigate to Facility Settings

In Facility Settings, select the Vendor Management Tab.

Step 2: Select “Add a Vendor” if the vendor was not already set up by your Organization’s System Administrator.

Select a vendor from the list.


NOTE: You cannot alter or update vendor information from the Facility level in the system. If you need to make changes, please contact your Organization’s System Administrator or contact your Plated Foodservice Customer Success team for assistance.
